MGA Rendezvous 2026 was not simply another conference. It was the first flagship MGA Rendezvous — an ambitious, large-scale pan-European event created to bring together leading professionals from across the MGA and insurance industry in Barcelona.
With no previous edition to replicate, the event had to be built from the ground up. Venue Assist supported the project from the beginning till the end through months of planning, vendor coordination and final on-site execution.
The result was a major multi-day program for nearly 600 delegates, combining conference sessions, 20+ sponsors, dedicated networking and meeting spaces, continuous hospitality, VIP experiences and a large evening reception — all operating across multiple spaces at Hotel Arts Barcelona.
The Brief
The objective was to create a major European industry gathering where business, networking, sponsorship and hospitality could operate as one connected experience.

Because this was the first edition, there was no historical attendance data, established sponsor footprint, proven room-block pickup or previous floor plan to follow. The operational model had to evolve in real time as registrations, sponsors and program requirements developed.
Finding the Right Venue
Venue selection is far more than finding a ballroom large enough to hold the audience. The property needed to support the entire event ecosystem: C-level reception, conference programming, sponsors, networking, meetings, hospitality, accommodations and the evening networking reception.
Hotel Arts Barcelona provided the combination of substantial conference space, adjoining foyers, breakout areas, guest rooms and hospitality spaces needed to keep the program connected within one property.
Venue Assist worked through the allocation and flow of the spaces in detail, considering entrances and exits, delegate circulation, sponsor visibility, buffet placement, networking areas, meeting locations and the timing of movement between sessions.
Event Design, Sponsors & Logistics
One of the most complex parts of MGA Rendezvous was not any individual room — it was making all of the spaces work together. Hundreds of delegates needed to move between registration, plenary sessions, sponsors, meetings, breaks, lunch and networking without the experience feeling fragmented.
With more than 20 sponsors involved, sponsor visibility and access were also central to the plan. Venue Assist worked through sponsor footprints, positioning, furniture, meeting areas and their integration into the wider delegate journey so that commercial conversations could happen naturally alongside the conference.
Food and beverage was planned around the same flow. When hundreds of attendees leave a session at once, service points, buffet locations, replenishment and timing become operational decisions, not simply menu choices.
Speaker & Conference Program Management
Across the two-day conference program, Venue Assist supported the coordination of 27 speakers, moderators and industry leaders appearing on stage.
We managed the operational side of the speaker program — coordinating speakers across both days, creating the speaker agenda and detailed event timeline, organizing the speaking order and ensuring speakers were lined up and ready for each session.
With multiple panels, individual presentations, moderators and back-to-back sessions, timing and communication were critical to keeping the conference running smoothly and on schedule.
Speaker management included:
- Coordination of 27 speakers, moderators and hosts
- Two-day speaker agenda and scheduling
- Detailed speaker and production timeline
- Speaker sequencing and session transitions
- On-site speaker coordination and line-up
- Coordination with AV and production around presentations and stage timing
- Real-time management of schedule changes and speaker requirements
AV & Production
Venue Assist coordinated closely with Tecnoso on the technical production required for a conference of this scale, including staging, presentation LED wall, confidence monitoring, microphones, presentation support, translation requirements, lighting and on-site technical staffing.
Throughout the process, we worked between the client, venue and AV team to refine the technical requirements and ensure production supported the program.
The Evening Experience
The evening reception was designed as an extension of the conference rather than a separate event. Keeping the experience at Hotel Arts Barcelona allowed hundreds of attendees to transition from daytime programming into a more relaxed networking environment without moving across the city.
Venue Assist coordinated the space, catering, beverage program, furniture, event flow and operational requirements surrounding the reception, continually revisiting the setup as the program and attendance evolved.
Hotel Accommodation
Accommodation was another significant workstream. Venue Assist managed the primary room-block strategy at Hotel Arts Barcelona while also evaluating nearby overflow options as attendance developed.
For a first-year conference, forecasting hotel pickup is particularly difficult. The strategy therefore needed enough structure to protect availability while maintaining flexibility as registration patterns became clearer.
On-Site Execution
Months of planning ultimately came down to execution. The Venue Assist team remained involved on site throughout the event, working alongside the hotel, AV team, suppliers and client to make sure the plans translated into reality.
Setup, room layouts, sponsor areas, production, catering, attendee flow, hospitality and transitions between the different components of the program all required active coordination.
Large-scale events rarely happen exactly as they appear on the original floor plan. Schedules move, rooms fill, suppliers need decisions, technical adjustments happen and last-minute needs arise. The role of on-site management is to solve those issues quickly — often before attendees ever know there was an issue.
The Challenge: Planning for the Unknown
The biggest challenge was also what made this project unique: it was the first one.
There was no previous event to reference. No historical delegate flow. No established sponsor footprint. No previous catering consumption. No proven room-block pickup. No existing blueprint showing exactly how attendees would use the space.
At the same time, the event continued to grow. Attendance projections changed, sponsor requirements developed, layouts evolved, AV requirements were refined, room-block needs shifted and food and beverage quantities had to be adjusted.
The Solution
Venue Assist became the connection point between those moving pieces. Rather than treating each change as an isolated request, we continually reworked the operational plan as a whole — protecting event flow, budget, sponsor experience and hospitality while keeping the venue, suppliers and client aligned.
That flexibility was essential. A first-time event at this scale cannot be managed from a static plan; it requires constant decision-making, communication and problem solving as the program becomes real.
The Result
The first MGA Rendezvous brought together nearly 600 delegates and more than 20 sponsors at Hotel Arts Barcelona, successfully launching a major new pan-European industry event.
Conference spaces were active, sponsor areas were full, networking continued throughout the program and the event transitioned from daytime conference programming into evening hospitality.
Most importantly, a concept that existed only on paper months earlier became a large-scale live event — and created the operational foundation for what we believe is only the beginning of an incredible concept.
